We have not appointed a statutory Data Protection Officer (DPO), given the size and nature of our practice.
2. Data we collect
We do not require you to create an account to use this website. We collect personal data only in the following situations: Direct Communications: When you contact us via email or phone, we collect your name, contact details, and any health-related information you voluntarily share. Appointment booking: Bookings are made through our third-party partner, Doctoranytime. When you book an appointment, the information you enter is collected directly by Doctoranytime as an independent data controller, under its own privacy policy. We receive the booking details necessary to prepare your appointment. Clinical / patient records: If you become a patient, we create a dental record containing health data necessary for your care. This is collected in person or by phone, not through this website. Technical data: Like most websites, our hosting provider may automatically log technical information such as IP address and browser type for security and performance purposes.
3. Why we process your data & our legal basis
• Responding to your enquiries — legitimate interest in answering questions, or consent where you voluntarily provide health details. • Managing appointments — performance of a contract (arranging the dental care you request). • Providing dental care and keeping patient records — performance of a contract and a legal obligation to maintain health records. • Website security — legitimate interest in keeping the site secure.
4. Special category (health) data
Information about your dental or general health is a "special category" of personal data under GDPR Article 9, which receives extra protection. We process such data only: • With your explicit consent (e.g., when you describe symptoms in booking notes). • Where necessary for the provision of dental care by a healthcare professional, subject to professional secrecy. Please avoid sending highly sensitive medical details via standard email; save those for your consultation.
5. Who we share data with
We do not sell your personal data. We may share it with: • Doctoranytime, our appointment booking platform, for scheduling purposes. • IT and hosting providers acting as data processors under contract. • Dental laboratories or specialists where referral care is needed. • Authorities or insurers to process reimbursement claims (e.g., INAMI/RIZIV) with your consent.
6. How long we keep your data
• General enquiries: kept for up to 12 months, then deleted. • Patient dental records: kept for a minimum of 30 years after the last treatment, as required by Belgian healthcare legislation. • Billing and accounting records: kept for the legally required period (generally 7 years under Belgian tax law).
7. Cookies & similar technologies
This site uses only the cookies strictly necessary for it to function correctly. Specifically, we use a functional cookie (NEXT_LOCALE) to remember your preferred language as you navigate the site. This cookie does not track personal identification. If we add analytics or marketing cookies in the future, we will request your consent through a cookie banner before they are set, in line with EU e-Privacy rules.
8. International data transfers
We aim to keep your data within the European Economic Area (EEA). If a service provider transfers data outside the EEA, we ensure an appropriate safeguard is in place, such as the European Commission's Standard Contractual Clauses.
9. Security
We take reasonable technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, and disclosure, including restricted access to patient records and secure hosting. No system is completely secure, and we encourage you not to share highly sensitive information through unencrypted channels.
10. Your rights
Under the GDPR, you have the right to: • Access the personal data we hold about you. • Correct inaccurate or incomplete data. • Request erasure of your data, subject to our legal obligation to retain certain health records. • Restrict or object to certain processing. • Withdraw consent at any time. To exercise any of these rights, contact us at info@couronnedental.be.
